Users #
When someone signs up to gain access to your site, they become a User.
Users might be:
Unapproved – A site visitor has signed up but can't access private materials until they've been 'Approved' by an administrator.
Approved – A site visitor has signed up and have been Approved (either automatically or by an administrator – depending how your site is configured).
Rejected – A site visitor has signed up, but their application has been rejected by an administrator.
Suspended – A user has had their account suspended either indefinitely or for some amount of time (as determined by the administrator).
Cancelled – An administrator has cancelled the user's account. Once the user has been cancelled he/she can no longer sign into the site.
Note: A cancelled user can sign up again using the same email address.
New user email notification #
When a new user signs up for an account, the system sends an e-mail notification to users with “admin” or “member-moderator” roles. To approve the user, either
- Tap the Approve link in the e-mail.
Tapping this link will take you to the /users screen where you’ll be able to sign in (if necessary) and approve the user. - Approve the user from your admin console.
Approve a user #
- Navigate to People > Users
- Navigate through the list of Users and tap the link to view a User's properties.
- Tap the cog icon in the upper right corner of the User's properties page.
- From the cog’s drop-down menu, tap Approve.
- Identify any Roles associated with the user by checking the appropriate box(es).
- Save the change by tapping the Approve button.
Reject a user #
As an administrator or member-moderator, you may want to reject any users if you don't recognize their profile information or if they haven't provided enough detail.
- Navigate to People > Users
- Navigate through the list of Users and tap the link to view a User's properties.
- Tap the cog icon in the upper right corner of the User's properties page.
- From the cog’s drop-down menu, tap Reject.
- (Optional) Provide a reason for the rejection.
- Save the change by tapping the Reject button.
Approve a rejected user #
If a user's request for an account was previously rejected, but you now want to approve the user, you'll have to locate the rejected user, then approve their account.
- Navigate to People > Users
- From the list of Users, locate the Rejected record.
The users screen, by default, does not show Rejected users.
To find the, tap the Filter drop down, then under Status, tap Rejected. - Tap the link to view the User's properties.
- Tap the cog icon in the upper right corner of the User's properties page.
- From the cog’s drop-down menu, tap Approve.
- Does the user have a role? If so, tap any that apply. Then, save the change by tapping the Approve button.
Suspend a user #
A suspended user can sign into their account, but they'll have the suspended-user role until such a time as they revert back to their original role(s). By default, those with the suspended-user role can access their user profile but cannot view content available to site members.
- Navigate to People > Users
- Navigate through the list of Users and tap the link to view a User's properties.
- Tap the cog icon in the upper right corner of the User's properties page.
- From the cog’s drop-down menu, tap Suspend.
- Use the drop-down to specify the Duration for which the user will be suspended.
- (Optional) Provide a reason for the suspension.
- Save the change by tapping the Suspend button.
Reinstate a suspended user #
If the reason for a suspension is resolved, you may want to reinstate a suspended user.
- Navigate to People > Users
- Navigate through the list of Users and tap the link to view a User's properties.
- Tap the cog icon in the upper right corner of the User's properties page.
- From the cog’s drop-down menu, tap Reinstate.
- Verify and save the change by tapping the Reinstate Account button.
Cancel a user's account #
- Navigate to People > Users
- Navigate through the list of Users and tap the link to view a User's properties.
- Tap the cog icon in the upper right corner of the User's properties page.
- From the cog’s drop-down menu, tap Cancel Account.
- Verify and save the change by tapping the Cancel Account button.
Once cancelled, the user will no longer be able to log in to the account.
How do I retrieve a cancelled user account? #
If you cancelled a user's account in error, the user can sign up again for a new account. If the system detects a user trying to sign up with the same email address used in a cancelled account, it will reinstate the cancelled account and assign an unapproved-user role to the user. You will then be able to approve the user again.
What should I do if a user leaves? #
You should regularly review the Users screen at People > Users to ensure site-members have the correct status.
When a user laves, you may want to cancel their account from the /users screen.
When a user leaves their position (e.g. a board member leaves the board, you may want to remove the “board-member” role from them.
Assign roles to a user #
When a user signs up, you'll have the chance, upon approval of the user's account, to assign a role (or roles) to that user. If, however, their role changes or if you want to assign them additional roles, you can do so from their People > Users > Roles screen.
- Navigate to People > Users
- Navigate through the list of Users and tap the link to view a User's properties.
- Tap the cog icon in the upper right corner of the User's properties page.
- From the cog’s drop-down menu, tap Roles.
- Mark the checkbox next to any roles that should be assigned to this user.
Changes made to this screen are saved automatically.
Once you've checked or cleared a checkbox on the user's Roles screen, the change will take place immediately.
